FeaturesEverything an event needs, in one system.
Applications, approvals, badges and the gate are the heart of it. Around them sit training, volunteer shifts, AI that does the reading, payments, email and reports. Every one of them is in every plan, at the price on the page.
From applying to walking through the gate.
Six parts take a person from their team's application to the gate on the day, and every step is written on their record.
Applications on your portal
Each club, broadcaster or supplier signs in and applies for its own people, within its places, with the photos and documents.
Approvals, with your rules
Your own approval steps, with a current check, a quota per team and one pass per person enforced on every request.
Automation
When this happens, do that: one approval issues the pass, emails the letter and texts the team manager.
Badges from your design
The photo, the zones and a code, on your card printer or as a PDF for the print shop, with who has collected theirs.
The gate, on any phone
Green or red by zone and by day, with the holder's face and a reason a steward can read out. Every scan is kept.
In your brand
Your event's site and portal on your own domain, and emails from your own address. Everything carries your name.
Everyone ready before the day.
The course a pass asks for and the shifts your volunteers work sit beside the passes, so nobody keeps a second spreadsheet of who is trained and who is on at seven.
Training they take before they come
Films, reading and a short quiz, taken on your portal. Passing is a check a pass can ask for, so a coach who has done safeguarding can be given the field of play pass, and one who hasn't cannot.
- A numbered certificate for everyone who passes
- Who has finished, who is part way through and who hasn't started
- A check can run out after three years, and passing again renews it
Shifts your volunteers book themselves
Each shift has its places by role. Volunteers sign in to your portal and take one, or join the queue when it's full. A place given back goes to the next in line, and a shift that's short of people says so.
- A role can ask for a check, such as a lead who is first-aid trained
- Nobody is booked onto two shifts at the same time
- Shifts that repeat are set up once, from a pattern
It does the reading. You do the deciding.
Three places where AI reads so your team doesn't have to. It never approves anybody or turns anybody away: it tells you what it found. Included in every plan.
Documents and photos scanned on upload
A team manager uploading a photo with a kitchen behind it is told so before Send. A passport is read and its number checked against the record. What doesn't look right is listed for you; nothing is refused.
Forward an email, get the changes done
Forward a request to your workspace's own address. What it asks for comes back drafted and checked, and one press applies it. Only your own staff's email is read; anybody else's is dropped unread.
Ask a question, get the chart
Which clubs are waiting, how many are approved, where the applications are. The assistant answers from your records, seeing only what you're allowed to see, and draws the chart. Save it as a report and it's up to date every time you open it.
- Runs on Amazon Web Services, in the same region as your data
- Off until you switch it on
- Nothing marked sensitive is sent, unless you ask for an upload to be checked
Everything else, in the same system.
None of it is an add-on or a second login. It comes with every plan, at the price on the page.
Zones by rule
Every athlete is given the field of play and every journalist the media centre. Zones follow rules by category or by club, and any one pass can still be changed.
Documents that expire
Passports, visas, licences and certificates, each with its expiry date on the calendar and a reminder before it runs out.
Payments
Charge for a pass, an application or a booking on your portal. The money goes straight to your own Stripe account, and a numbered receipt goes to whoever paid.
Email that sends itself
The right message goes out by itself as each application moves along. Or send one to a whole list, and each person gets their own, with their own pass.
Told when something's off
A pass whose zones no longer match your rules, an email that bounced, a club over its places, a check that has run out: each is flagged where you'll see it, not found out at the gate.
Lists that keep themselves
Every coach without a pass, every volunteer not yet trained: save the question once and the list stays up to date, ready to email or export.
Reports
Live charts of applications, approvals and passes by club or by category, for the board meeting or a screen on the office wall.
Team chat
Messages between your own staff as they happen, with the record attached when the conversation is about one.
The same person twice
When a club sends someone you already have, the two are paired up for you and merged in one step, with both histories kept.
Tell us about your event.
A few lines are enough. If you'd rather talk first, say so and we'll call you, or email hello@bluebric.com.

The order form and the data processing agreement to sign before any data arrives, and a setup timed back from your event's date.
Thank you.
